Help preserve railroad history.
Western Rail Archive exists to document, preserve, and share the stories of North American railroading, with a special focus on California railroads, preservation efforts, museums, transit agencies, and railroad heritage.
Western Rail Archive is a preservation-focused archive. Financial contributions help support our work, but donations of historical materials can be equally valuable in helping preserve railroad history.
Every photograph, document, videotape, slide, model train, timetable, and personal story helps ensure that railroad history is not lost to time.
Two Ways to Support the Archive
- Make a financial contribution
- Donate, loan, or digitally share historical materials

Donation & Tax Information
Western Rail Archive is currently a privately operated historical archive and is not presently recognized as a 501(c)(3) nonprofit organization.
As a result, financial contributions, material donations, and collection transfers may not be tax deductible under U.S. federal or state tax law unless otherwise noted.
Donors are encouraged to consult a qualified tax professional, accountant, or attorney regarding the tax treatment of any contribution. If Western Rail Archive’s organizational status changes, updated donation and tax information will be provided on this page.

Estate & Collection Preservation
Ensuring Railroad History Survives
Many railroad enthusiasts, photographers, historians, model railroaders, and former railroad employees spend decades building collections of photographs, slides, negatives, documents, videos, books, models, and memorabilia. Unfortunately, many collections risk being dispersed, discarded, or lost when their owners are no longer able to care for them.
Western Rail Archive welcomes conversations regarding estate donations, collection preservation planning, lifetime collections, photographer and railroad employee collections, club and organization archives, and model railroad estates.
We understand that every collection represents years, and often decades, of work. Our goal is to preserve these materials, document their history, and make them available to future generations whenever possible.

Planning Ahead
If you want to ensure that your railroad collection remains together and accessible after your lifetime, contact us to discuss preservation options. Early planning can help ensure valuable historical materials are preserved rather than unintentionally discarded.
Every collection tells a story. Together, we can help ensure those stories continue to be shared for generations to come.
Loan vs. Donation
Donate Materials
Ownership transfers to Western Rail Archive for long-term preservation and educational use, subject to the terms agreed upon when the donation is accepted.
Loan Materials
Materials may be digitized and returned to the owner when practical and mutually agreed upon.
Digital Contributions
Photographs, videos, documents, and audio recordings that have already been digitized may often be shared electronically without transferring ownership of the originals.
Items We Cannot Accept
While Western Rail Archive is committed to preserving railroad history whenever possible, certain items may be declined because of safety, storage, legal, or preservation concerns.
Hazardous Materials
- Explosives or explosive components
- Railroad signal torpedoes
- Hazardous chemicals
- Fuel, oil, or lubricants
- Radioactive materials
- Pressurized tanks or cylinders
- Materials restricted by law
Severely Mold-Damaged Materials
Materials affected by active mold may pose a risk to people and other collections. Examples include mold-infested books, mold-damaged photographs, water-damaged paper collections, and materials showing ongoing biological deterioration.
In some cases, photographs or digital copies may be sufficient to document historically significant items that cannot be safely preserved.
Oversized Artifacts
- Railroad cars, locomotives, and cabooses
- Large track components
- Signals and towers
- Oversized industrial equipment
- Full-size station furnishings
When practical, we may help identify an appropriate museum, archive, or preservation organization for an oversized item.
Duplicate or Common Materials
- Large quantities of duplicate items
- Mass-produced materials with little historical context
- Commonly available publications already represented in the collection
Items With Unclear Ownership
Western Rail Archive cannot knowingly accept materials with unresolved ownership, copyright, provenance, or other legal issues.
Questions About a Potential Donation?
Contact us before shipping. A brief description and a few photographs are often enough to begin evaluating whether we can accept a donation or suggest another preservation organization.
Western Rail Archive reserves the right to decline, transfer, or deaccession donated items that fall outside our mission, exceed available storage capacity, or cannot be preserved responsibly.
Preservation & Attribution
Whenever practical, accepted materials may be:
- Digitized at archival quality
- Cataloged with available historical information
- Credited to contributors
- Preserved with redundant digital backups
- Used to support educational and historical research
- Protected from unnecessary handling or deterioration
Unless anonymity is requested, Western Rail Archive recognizes contributors. Recognition may include article acknowledgments, video credits, supporter listings, collection donor profiles, or preservation partner recognition.
What We Are Especially Looking For
- Southern Pacific, Santa Fe Railway, and Union Pacific materials
- Amtrak, Metrolink, and COASTER history
- Pacific Electric and Southern California transit materials
- Disneyland Railroad and Disneyland Monorail materials
- Knott’s Berry Farm Railroad materials

Ready to Donate?
Whether you want to make a financial contribution, donate historical materials, loan items for digitization, or discuss a larger collection or estate plan, we would be glad to hear from you.
1. Gather Information
Provide a brief description, approximate quantity, format, geographic area, date range if known, and whether you wish to donate, loan, share digital copies, or discuss a future estate donation. Photographs of the materials are welcome.
2. Contact Western Rail Archive
Donation inquiries: donations@westernrailarchive.com
General inquiries: greg@westernrailarchive.com
Please include “Donation Inquiry” in the subject line whenever possible.
3. Review Process
Western Rail Archive will review the available information and discuss historical significance, preservation needs, digitization options, attribution preferences, return shipping for loans, and collection-transfer logistics. Not every item can be accepted, but we will try to identify an appropriate path for historically significant material.
Shipping Donations
Please do not mail materials without contacting Western Rail Archive first.
Many historical items require special handling, packaging, or documentation before shipment. Following an initial review, we can discuss shipping instructions and, when appropriate, pickup or delivery options.
Legacy Giving
If you are planning your estate and would like to include Western Rail Archive in your long-term preservation plans, contact us to discuss options. Many important railroad photographs, slides, films, documents, and collections survive because their owners planned for preservation before the materials were lost.
A well-planned legacy gift can help keep a collection together and accessible to future generations of historians, researchers, railfans, and preservationists.
Preserve Your Story
Historical materials often lose much of their value when the stories behind them are forgotten. Western Rail Archive welcomes written recollections, captions, notes, interviews, and personal histories that explain the significance of donated photographs, videos, documents, memorabilia, and collections.
Stories We Encourage Donors to Share
- Who created or collected the material
- When and where it was created
- The people, railroads, or organizations involved
- The significance of a particular event, train, locomotive, or location
- Personal memories associated with the collection
A photograph identifies what was seen. A personal story explains why it mattered.
Whether you are a railfan, photographer, railroad employee, preservation volunteer, model railroader, or lifelong collector, your experiences help preserve a piece of railroad history that might otherwise be lost. Western Rail Archive is committed to preserving not only photographs, documents, and artifacts, but also the stories that bring them to life.
Why Donations Matter
Important railroad photographs, films, slides, documents, and collections disappear when they are thrown away, damaged through improper storage, or separated from the historical context that gives them meaning.
Western Rail Archive seeks to preserve not only the materials themselves, but also the stories behind them. A single photograph, timetable, videotape, slide, model, document, or recording may contain information that is not recorded anywhere else.
By supporting Western Rail Archive, you help ensure that future generations can learn from, enjoy, and experience the history we preserve today.
A Personal Note
Western Rail Archive began from a simple belief: railroad history deserves to be preserved, documented, and shared.
For many years I have photographed railroads, visited museums, documented preservation projects, ridden historic trains, and met many railfans, historians, railroad employees, museum volunteers, and preservationists who have dedicated themselves to keeping this history alive.
Along the way, I have come to appreciate just how much railroad history exists outside of books and museums. It lives in family photo albums, slide collections, videotapes, timetables, model railroads, personal stories, and memories that are often at risk of being lost.
Western Rail Archive exists because of the people who took the time to document what they saw and chose to share it with others. Every photograph, document, recording, artifact, and story helps ensure that future generations can learn from and enjoy the same history that inspired us.
Thank you for helping preserve our railroad heritage.
